The responsibilities of the Secretary among others will include:

  • Manage day to day operations of the Athens based office (mail correspondence, office supplies, etc).
  • Welcome, meet and greet visitors, ensuring they are dealt with in a professional and welcoming manner, providing drinks and ensuring whoever they are here to see are notified quickly.
  • To operate a busy switchboard, handling and transferring incoming calls to all departments, screening calls, taking messages and dealing with any queries.
  • Proactively deal with requests in an efficient, friendly and timely manner, ensuring all business requirements are dealt with promptly and professionally.
  • Administratively support the expense management process.
  • Liaise with different departments (HR, Marketing, Sales) to proactively coordinate Daikin Hellas activities, playing a key role in the organisation of events, seminars & trainings for colleagues and customers.
  • Arrange travel logistics for team members, including transportation, accommodation, and itinerary planning, to ensure smooth and efficient travel experiences (must have had this experience before in a fairly recent role).
  • Report of all facility-related issues, including health and safety, and follow company service and Health & Safety standards at all times.
  • Assist with general administrative tasks to contribute to the smooth operation of the company.

                                                                             

 

Requirements

The ideal candidate should have:

  • Academic Degree (BA, BSc) in any field is required.
  • Up to 2 years of experience in a similar role is required.
  • Background in either multinationals or mid-size companies will be preferred.
  • Good working knowledge of MS Office is required.
  • Good working knowledge of the English language.

 

Job-Specific Skills:

  • Excellent written and interpersonal communication skills, including the ability to liaise effectively with people at various levels.
  • Ability to use own initiative; be proactive and manage own time and workload.
  • Experience of organising multiple diaries, working to multiple people balancing individual priorities.
  • High attention to detail and significant practical experience of gathering, analysing, collating complex and sensitive information.
  • Ambassador across the organization for best practices in Secretariat in general.
