The responsibilities of the Service Operations Coordinator among others will include:

  • Coordinate the end-to-end processing of spare parts, equipment, and service orders, ensuring timely, accurate execution and exceptional customer service.
  • Manage order processing, billing activities, and master data within SAP and the Service Management System (DSM – Service CRM), ensuring data accuracy and integrity.
  • Coordinate the procurement and availability of spare parts, consumables, tools, PPE, and other Service-related materials in collaboration with suppliers, Procurement, and Logistics.
  • Monitor inventory levels, perform stock reconciliations, and oversee the administration of rental equipment, technicians' tools, uniforms, and PPE.
  • Maintain Service systems by managing warranty registrations, customer and supplier master data, service tickets, and maintenance, rental, and remote monitoring contracts.
  • Support process and system improvements to increase operational efficiency and service excellence.
  • Monitor operational KPIs and prepare reports to support business performance and informed decision-making.
  • Collaborate with cross-functional teams, including Accounting, Logistics, and Credit Control, to ensure the smooth execution of Service operations and customer invoicing activities.
  • Provide administrative and operational support to the Service organization, ensuring accurate documentation, effective processes, and compliance with internal procedures.  

Requirements

The ideal candidate should have:

  • Up to 3 years of experience in an administrative, operations coordination, customer service, or similar support role. 
  • Bachelor's degree in Business Administration or a related field will be considered an asset. 
  • Good working knowledge of the English language and MS Office.
  • Experience working with SAP and/or CRM systems will be considered an asset.
