  • The Executive Secretary provides administrative support to the Top Management in the Executive office and their functional business areas. In this role, you will work with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.  

  • Independent judgment is required to plan, prioritize, and organize a diversified workload as well as recommend changes in office practices or procedures. 

 

A Day in the Life of An Executive Secretary : 

  • Provide comprehensive administrative support to the Top Management including complex calendar and email management, creating reports and presentations, processing expenses, drafting, editing, and distributing internal and external communications with discretion and professionalism. 

  • Ensure support to the Board of Directors to ensure smooth communication between our executives, staff, clients and internal departments, demonstrating credibility, trust, and support. 

  • Communicate directly, and on behalf of the Board of Directors with the broader Executive team, company leaders, external clients, and others on a variety of topics and initiatives. 

  • Support onsite meetings, including scheduling and follow-up,  coordinating logistics, catering, travel etc. as needed. 

  • Arrange travel including flights, hotels, rental cars, restaurant reservations, and site tours. 

  • Provide excellent customer service to both internal and external customers

What you will Bring: 

 

Your profile:   

  

  • A bachelor’s degree in Business Economics or a related field 

  • fluent in Dutch & English (Highly important for the role) 

  • 5+ years of related experience required in working in an executive assistant role supporting C-Level executives. 

  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) 

  • Ability to communicate effectively and professionally and to manage multiple tasks autonomously 

  • Positive & enthusiastic personality 

  • Active listening skills 

  • Organised & Perseverant 

  • Structured and process-driven
