Daikin Europe, a leading provider of HVAC-R solutions, is seeking a dynamic and dedicated Fleet and Mobility Officer to join our team in Ostend, Belgium. Our rapid growth in people has led to a significant expansion of our car fleet, currently accommodating more than 500 vehicles, and the fleet is still expanding. We have implemented numerous updates and changes to support the expansion of the fleet and are continuously seeking for optimizations in view of the changing mobility market.  

 
We are looking for an enthusiastic new colleague to efficiently manage the daily follow-up, coordination and administration of our fleet and alternative mobility solutions.  

In line with the continuous changes on the fleet and mobility market, you will be key in transforming our fleet into a broader concept of (green) mobility.  
 

 

Your responsibilities will include: 

 

Follow-Up and Administration 

  • Serve as point of contact for fleet & mobility initiatives for internal stakeholders. 

  • Coordinate with departments such as HR and General Affairs to ensure seamless execution of mobility policies. 

  • Coordinate the follow-up of new drivers who have access to IQ, based on recruitments. 

  • Manage the orders, delivery, and discontinuation of run-in cars (rentals). 

  • Review and confirm leasing quotations and contracts with the leasing company. 

  • Ensure the smooth administrative flow from invitation to delivery of the car. 

  • Organize operational meetings with the leasing company. 

  • Set up communication and newsletters for drivers. 

 

Data Management 

  • Prepare and analyse fleet data for strategic follow-up. 

  • Control driver data and possibilities in line with payroll data. 

  • Support the transmission of data for payroll processing. 

  • Maintain accurate records and documentation related to mobility services. 

 

Customer Support 

  • Address inquiries from drivers regarding car-related matters, including car policy, leasing, and charging passes. 

  • Collaborate with car dealers and leasing companies to resolve issues and ensure optimal service delivery. 

  • Monitor and respond to inquiries received via the mobility mailbox. 

  • Assist in determining and activating the best alternative mobility solutions. 

 

Future-Focused Initiatives 

  • Researching Mobility Budgets: Develop and manage mobility budgets effectively. 

  • Identify cost saving initiatives and work with GA & HR to achieve those initiatives. 

  • Creating Procedures and New Mobility Initiatives: Promote sustainable and efficient mobility solutions. 

  • Implementing Mobility Policies and Procedures: Ensure the successful implementation of mobility policies and procedures. 

  • Promoting Green Mobility: Lead initiatives to ensure our transportation solutions are sustainable and environmentally friendly. 

 

Qualifications: 

  • Bachelor or Master's degree in Business Administration, Human Resources, or a related field. 

  • Interest in or previous experience in fleet management or related administrative roles. 

  • Analytical mindset. 

  • Strong organizational skills with the ability to manage multiple tasks simultaneously. 

  • Excellent communication and interpersonal skills, with a customer-centric approach. 

  • Proficiency in Microsoft Office suite and experience with fleet/mobility management software is a plus. 

  • Fluent in Dutch and English.
