The department:
You will be part of DENV's HR Service Center, a team of experienced HR specialists committed to providing an optimal Employee Experience. We combine efficient digital solutions with personal advice on all personnel and HR legal issues.
Together with the payroll team (inhouse external partner), we ensure accurate and timely payroll processing. In addition, we are the daily point of contact for employees regarding their personnel files, remuneration and benefits, leave entitlements, and other social and legal issues. The team also provides accurate HR reports to business managers and internal HR partners, enabling them to make the right decisions.
Our target group consists of a highly diverse mix (e.g., generation, nationality, job profiles, levels of responsibility, etc.) of blue-collar and white-collar workers at the various DENV HQ locations in Belgium. The topics we deal with vary from individual to collective.
As a Senior HR Officer in this team, you will contribute to the efficient execution of our HR services and processes, including payroll administration (supported by an internal external partner) and employee benefits management. In addition, you will take initiatives to further optimize and digitize these HR processes.
In addition to your immediate colleagues within the HR Service Center, you will also have intensive professional contact with other HR teams (HR Center of Expertise and HR Strategic Business Partners), trade unions, and business stakeholders.
Your main place of work will be Ostend, but you may also visit other Belgian locations from time to time.
Job description:
As a Senior HR Officer (supervisor), you will play an important role within the DENV HR team.
This will be from the perspective of both day-to-day operations, where you will be responsible for and act as a subject matter expert on a selection of HR topics, processes, and/or policies that apply to the DENV organization.
In addition, from a change management perspective, you will contribute to the redesign, optimization, and digitization of key HR processes in order to further roll out a “tier model” approach to HR services—that is, from digital self-service (tier 0) to specialized, personalized advice and policy development (tier 3).
Operational and substantive responsibilities:
- As a Subject Matter Expert (SME), you are the point of expertise within our tier model. You handle complex issues that deviate from the policies and/or practices within the organization and provide support where necessary.
- You will analyze individual situations and seek solutions that ensure both employee satisfaction and compliance with company policy and legislation (with the support of our HR Legal Officer).
- For exceptions to policies, you will work closely with HR Business Partners and the HR Legal Officer to achieve sustainable solutions.
- You will focus on topics such as: attendance and absence management (e.g., part-time work, illness), employment contracts, remuneration, insurance and pension schemes, mobility, and flexible remuneration. These topics have a direct impact on correct payroll processing, which you will monitor through timely coordination and clear communication within and by the team.
- You maintain constructive cooperation with external partners, such as insurance brokers.
- You contribute to the development of HR policy and ensure the correct interpretation and translation of policies into processes for Tier 1 and Tier 2.
Compliance responsibilities:
- As an SME for HR services, you ensure that legislative changes that may affect activities are translated and incorporated into the team's processes. You work closely with the HR Legal Officer in this regard.
- As a “control owner,” you will also supervise the team's activities with regard to compliance with our internal control systems (J-SOX, ISO, etc.), adjusting processes and flows where necessary.
Project opportunities:
In addition to your daily operational tasks, you will have the opportunity to work on challenging projects, such as:
- Process optimization: improvements in documentation, data storage, and the use of digital signatures.
- Defining and monitoring SLAs for various stakeholders, such as our payroll partner, internal departments (IT, production), and external suppliers.
- Digital innovation: working with our HR Digi team, you will work on improvements to HR services, such as self-service options for employees and process automation.
- Reporting and analysis: setting up regular reports on the activities of the HR Service Center and using these to drive improvement initiatives.
- Change management within HR:
- Focus on transforming our current team structure into a future-oriented tier model, working with clear escalation levels and streamlined processes for employees and managers and/or;
- Roll out an integrated HR Service Center serving all Daikin organizations in Belgium, with the aim of providing uniform service, improving efficiency, and ensuring a consistent employee experience.
Profile:
- You have a (master's) degree in HR or can demonstrate an equivalent level based on relevant experience
- You are an experienced HR professional with knowledge or experience in payroll/wage administration-related topics
- You have a good knowledge of Belgian labor law, social law, as well as knowledge of remuneration and benefits
- You have excellent knowledge of Excel
- Experience with HR software such as SuccessFactors & SAP-HCM is a plus
- You have a process-oriented and proactive mindset; experience with digitization is a bonus
- You have strong communication skills and are a real team player and networker
- You are fluent in Dutch and English, both written and spoken
